We’re growing and looking to add a Construction PROJECT ADMINISTRATOR to our team! Synergy is an established Chicago-based GC based in Chicago’s West Town neighborhood. In this important support role, you’ll work with a small team MO-FR, starting at 7:30 AM,

Your work will focus on supporting the Project Management team through coordination and management of key project documentation, communications with sub-contractors, and effectively and professionally responding to requests from internal and external customers.


  • Supports project management team and company’s Partners, responding to inquiries and requests in a timely and efficient way
  • Coordinates, processes and tracks a variety of project documents including submittals, subcontracts, waivers of lien, purchase orders, change orders, and related documents
  • Manages subcontractor waivers of lien. Requests waivers of lien from subcontractors, ensures they produce complete and accurate waivers of lien before releasing payment; works with subcontractors to resolve billing issues; approves waivers of lien
  • Updates spreadsheet for tracking the progress of documents received from subcontractors
  • Ensures Subcontractor insurance is in place for each project
    1. Procures Certificate of Insurance from all sub-contractors covering:
      • General Liability
      • Workers Compensation
      • Umbrella Coverage
      • Auto Coverage
    2. Maintains up-to-date tracking list
  • Ensures start-up of utility accounts (gas, electric, water/sewer, etc.) on a timely basis for each project, as needed
  • Obtains Synergy’s initial general contractor license for each city/municipality where project work is being done; renews annual as needed
  • Reviews accuracy of subcontractor-certified payroll for IDHA projects, ensuring all project details are correct (does not include certified payroll calculations)
  • Coordinates completion of Project Closeout books to fully document the final details of each project
  • Obtains Synergy general contractor license for each city/municipality where project work is being done; renews annually as needed
  • Procures Operations and Maintenance (O & M) manuals
  • Coordinates with the external vendor to procure final project photos
  • Orders Safety posters, first aid kits, and personal protective equipment (PPE) at the request of the Safety Coordinator or management
  • Notarizes documents as needed
  • Provides backup to front office staff as needed
  • Other duties as assigned

Educational Requirements:

  • High School degree required; college preferred in a related field

Physical Requirements:

  • Works indoors in a moderately loud active office environment
  • Sits stands and walks as part of daily work activities working at a desk and with others
  • Frequently uses hands to manage/carry out work on computer, telephones, photocopy machine, etc.
  • Regularly required to talk and hear in communicating with others
  • Occasionally lifts up to 20 pounds
