Overview:
Under the general supervision of the Supervisor, Inside Sales, the Sales Assistant provides general sales and customer administration support.
DUTIES AND RESPONSIBILITIES:
- Interfaces with customers by phone, email, and fax to address customer concerns and questions. Involves sales as appropriate to address customer issues.
- Transfer quotations into the business system and enter on appropriate manufacturing/assembly facility.
- Ensure timely delivery of product documentation and shipment of backlog.
- Monitor shipment schedules provide schedule updates to customer, and expedites production as required.
- Ensure all order-related documentation is submitted in a timely manner using established procedures.
- With direction from Inside Sales, responsible for entering change orders.
- Assist Inside Sales with invoicing and associated documentation.
- Responsible for reviewing and monitoring commission reconciliation.
- Monitor past due payables and work with Sales Team and accounting to meet corporate goals for collections.
- Responsible for portal order confirmations and ship confirmations as required
- Assist the Sales Team with copying, filing, typing, collections, and general administration activities.
- Responsible for providing suggestions to improve work processes, including a reduction in non-conformance, increased efficiency, profitability, hit-rate, and customer satisfaction.
- Perform related duties as required.
- Develop and maintain awareness of all products and services provided by Puffer-Sweiven.
- Performs other related duties.
QUALIFICATIONS:
Education/Knowledge:
- High School education required with some college business coursework preferred.
Experience/Skills:
- Knowledge of office administrative procedures, use, and operation of standard office equipment.
- 2+ years of office administrative experience.
- Strong knowledge of various computer software applications including MS Office, business systems, and principal-provided sizing programs.
- Strong written and verbal communication skills.
- Strong customer service skills including the ability to develop rapport and trust with customers and other employees.
- Competent in the use of various communication methods including customer data tools, email, internet, and FTP sites.

WORKING CONDITIONS/PHYSICAL DEMANDS:
Work is to be conducted primarily in the office, however, some work may be done in shop or warehouse environments and some work may be conducted remotely via technology.
- Must be able to wear a minimum level of required Personal Protective Equipment (PPE) without restriction which may include but is not limited to: safety glasses and hearing protection.
- Must have the ability to perform work with occasional walking, standing, reaching, stooping, and kneeling.
- Long hours on a computer keyboard. Prolonged periods of standing and/or walking.
