Job Description

Position Summary

The Rice University Endowment manages approximately $8 billion in assets and ranks in the top 20 endowments of private research universities (by market value) in the US. The endowment is critical to the university’s ability to achieve its goals.

The annual distribution from the endowment funds is nearly half of the university’s annual operating budget which includes supporting the university’s need-blind admission process and providing access to students regardless of ability to pay.

The Rice Management Company (RMC) is a division of Rice University with the goal of providing a stable source of funding for current university operations and to preserve and growing the purchasing power of the endowment to benefit future generations of students.

The RMC is responsible for all endowment matters of the university including asset allocation, the selection and termination of investment managers and monitoring the performance of the portfolio, and reporting to the Rice Management Company Board of Directors.

The endowment primarily utilizes outside investment managers and invests globally across all asset classes.   Under the direct supervision of the Division Manager, the Office Manager provides complex administrative and operational support to the RMC. They implement processes and procedures to ensure the effective and efficient functioning of the RMC office.

Essential Functions

  • Works with the division manager to establish priorities and to identify and resolve problems that are administrative and operational in nature
  • Assists operations management and other administrative support professionals to complete office management responsibilities
  • Oversees office supplies and maintenance, ensuring a safe and clean working environment that exceeds the needs of RMC team members and guests alike
  • May assist with capital or special equipment requests and/or vendor selection
  • Maintains supply inventory and office equipment, including computers, monitors, and related desk equipment
  • Provides general support to visitors and greets visitors as needed at the reception desk
  • Plans and coordinates routine remodeling and renovations for the RMC space; coordinate office moves as needed
  • Prepares, submits, and monitors invoices 
  • Performs other duties as assigned

Required Qualifications

  • Bachelor’s degree 
  • 3 years of related experience
    1. May substitute additional related experience, above and beyond what is required, on an equivalent year-for-year basis in lieu of the education requirement.
  • Advanced computer skills and demonstrated experience with office software and email applications
  • Proven success in following through and completing projects
  • Excellent organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Excellent customer service and interpersonal skills
  • Ability to prioritize, multi-task, and assign work to others
  • Ability to take initiative and ownership of projects
  • Ability to routinely and independently exercise sound judgment in making decisions
