Key Responsibilities:

This position supports/reports to the Senior Manager and two managers in their roles as the facility maintenance business partner to the operating divisions. As such, this position is directly responsible for delivering the financial analysis and reporting for the department strategy to ensure the accurate reporting of facility maintenance-related expenses and the creation of billing processes to external parties.

The position will utilize a vendor-supported computerized maintenance management system (CMMS) to create models for analysis and billing. Provide ad-hoc budget and forecast scenario analysis as required.

Track and report on external vendor headcount and productivity. Review and create reports needed to review contractors, third-party vendors and HAS invoices and work orders. Oversee several third-party vendors and provide support and review of badging processes.

Perform routine billing, reporting, and ad hoc analysis pertaining to facility maintenance work orders and invoices prepared by external vendors/contractors (Monthly reconciliation, billing, and reporting of facility maintenance requirements for reimbursement from external parties

  • Bi-weekly review of facility maintenance-related invoices for accuracy
  • Monthly budget variance reporting and other management reports, some to be established, for use both internally and externally)
  • Conduct financial support, analysis, and reporting to Sr. Manager (such as budget and forecast scenario analysis, external headcount productivity tracking and reporting, and reporting on the progress of implemented audit initiatives)
  • Meeting participation/contribution involving divisional stakeholders and facility maintenance financial issues

What’s needed to succeed:

  • Associate degree or 2 years in Accounting, Finance, Business or relevant work experience
  • Proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint) products and knowledge of accounting and financial statements
  • Assimilating and applying new job-related information in a timely manner
  • Identifying opportunities and taking action to build strategic relationships between one’s area and other areas, teams, departments, units, or organizations to help achieve business goals
  • Actively participating as a member of a team to move the team toward the completion of goals
  • Effectively managing one’s time and resources to ensure that work is completed efficiently
  • Setting high standards of performance
  • Assuming responsibility and accountability for completing assignments or tasks
  • Self-imposing standards of excellence rather than having standards imposed
  • Must be legally authorized to work in the United States for any employer without sponsorship
  • Successful completion of interview required to meet job qualification
  • Reliable, punctual attendance is an essential function of the position
